Privacy Policy

This Privacy Policy explains how Digital Agency Exchange LLC, an Ohio limited liability company doing business as Dax (“Dax,” “we,” “us”), handles information in connection with the Dax web platform and the Dax MobileiOS application (together, the “Service”). Dax is a customer-relationship and workflow tool for independent insurance agencies and their licensed staff. It is a business tool used by agents; it is not directed to consumers or the general public.

Two roles matter throughout this policy. When an agency and its agents use Dax to manage their book of business, the agency is the controller of the customer records, policies, notes, documents, and other content they enter, and Dax acts as their service provider (processor), handling that information on the agency’s behalf to provide the Service. For account and billing information about the agency and its users, Dax is the controller.

Information we collect

Account & profile.When an agency or user signs up, we collect the user’s name, email address, authentication credentials, agency affiliation, and role. Sign-in is handled through our authentication provider.

Content you enter about your customers. Dax exists to store the records an agency chooses to keep: customer and household names and contact details, dates of birth, addresses, policies and coverages, drivers and vehicles, properties, claims, tasks, opportunities, and notes. Agents enter this information about their own clients; the agency decides what to collect and retain.

Photos & documents.In Dax Mobile you can use the camera to photograph documents, vehicles, or property and attach them to a customer. These images are uploaded to private, agency-scoped storage and attached to that customer’s record.

Voice & dictation.Dax Mobile lets you dictate notes and record spoken recaps of meetings or calls (the “Field Assistant”). Speech is converted to text using Apple’s speech recognition (which, depending on your device and iOS settings, may run on-device or via Apple’s services). The resulting text transcript — not the raw audio — is sent to our servers, and, for the Field Assistant, to our AI provider to extract a summary, tasks, and other structured details for your review. Dax does not retain the audio recording.

Device permissions. With your permission, the app uses the camera (photos), the microphone and speech recognition (dictation), Face ID / Touch ID (used locally on your device to unlock the app — the biometric data itself never leaves your device and is never sent to us), and push notifications. You can change these permissions at any time in iOS Settings.

We do not collect location. Dax Mobile does not use GPS, location services, maps, or any location data, and requests no location permissions.

Usage & diagnostics. We collect limited technical and usage information needed to run and secure the Service (for example, log and device information, and a record of actions taken in the app for audit and troubleshooting). We do not use third-party advertising or cross-app tracking.

How we use information

We do notsell your information or your customers’ information, and we do not use it for advertising. Content you enter about your customers is used to provide the Service to your agency — not to train third-party AI models.

We share information with a small set of vendors who process it only to help us run the Service, under contractual confidentiality and security obligations:

We may also disclose information if required by law, to protect rights and safety, or in connection with a business transfer, in each case consistent with this policy.

Data retention

We retain agency and customer content for as long as the account is active or as needed to provide the Service, and thereafter as required for legal, audit, or dispute-resolution purposes. An agency can export or request deletion of its data as described below.

Your choices and rights

Because the agency controls the customer records it stores in Dax, requests from an insurance customer about their own information should be directed to the agency that holds the record; we will assist the agency in responding. Agency users may access and update their profile in the app, manage device permissions in iOS Settings, and request access, export, correction, or deletion of account data by contacting us. Depending on where you live, you may have additional rights under applicable privacy laws; we honor those rights as required.

Security

We use technical and organizational safeguards to protect information, including encryption in transit, agency-scoped access controls enforced at the database level, encryption of sensitive fields at rest, and audit logging. No system is perfectly secure, but we work continually to protect the Service.

Children

The Service is a professional tool intended for licensed insurance agents and is not directed to, or intended for use by, children under 18.

Changes to this policy

We may update this policy from time to time. When we make material changes, we will update the effective date above and, where appropriate, notify you within the Service. Your continued use after an update means you accept the revised policy.
